Business Systems Specialist
Contract (16 months), Hybrid
OntarioMD is seeking a Business Systems Specialist to play a critical role in shaping, operationalizing, and continuously improving our corporate platforms, including MS Dynamics CRM, SharePoint, Website Portal and other corporate products.
This role acts as a bridge between business needs and technology enablement, and will support platform strategy, lead system optimization initiatives, manage enhancements approved through defined intake and governance processes, and drive adoption across the organization.
Within the Corporate Systems Management program, this role will:
Corporate Systems Strategy and Planning
Partner with internal teams and business leaders to align our Corporate Systems with organizational priorities and goals.
Support the development and maintenance of platform roadmaps, aligned to the Corporate Systems strategy and annual planning cycle.
Act as a trusted advisor and work closely with cross-functional teams, providing guidance on how to leverage and maximize the value and usage of our Corporate Systems.
Contribute to defining target-state capabilities, success metrics, and priorities for corporate platforms.
System Support & Optimization
Gather, analyze, and document business requirements and translate them into functional specifications for changes related to Corporate Systems platforms.
Coordinate with Technology and vendors to support the implementation of system enhancements, integrations, and new functionality.
Work closely with the IT Operations team to understand the impact of MS releases, recommend strategies to increase usage, and ensure OntarioMD staff can leverage new capabilities.
Analyze how platforms are currently used and identify opportunities for enhancement and improvements.
Manage release cycles and ensure smooth delivery and rollout.
Adoption & Training
Develop and execute communication plans to promote awareness and keep stakeholders informed about upcoming changes, new features, and benefits.
Conduct impact assessments and establish feedback loops to capture user experience and adoption challenges.
Design and deliver training sessions, workshops, and knowledge-sharing forums to support effective platform use.
Develop documentation, guides, and training materials to support system usage and adoption for diverse audiences.
Track adoption metrics and report progress to leadership.
Data Governance & Privacy and Security
Contribute to the development and implementation of data governance standards, information management practices, and platform usage guidelines.
Support adherence to privacy, security, and compliance requirements in collaboration with Technology and corporate policy owners.
Participate in assessments of data quality, access controls, and information lifecycle management.
Provide advice on information systems strategy, policy, and service delivery.
Requirements that are important to us:
Bachelor’s degree in Business Administration, Information Systems or related field.
Minimum 5 years of experience with MS Dynamics CRM, SharePoint, and related tools in a business systems, platform management, or solution design role.
Demonstrated experience gathering and translating business requirements into system solutions.
Prior experience working with Ministry of Health, Ontario Health, Ontario Medical Association, and/or similar organizations.
Experience with reporting, dashboards, or analytics tools is considered an asset.
Strong communication and stakeholder management skills, with the ability to engage effectively with various audiences including management and executive teams.
Ability to manage multiple priorities and work effectively under time pressures.
What we offer
- Base salary range of $71,000 - $84,000 annually; final compensation offered will be determined based on experience, skill set, education, training, and internal equity.
